You are not throwing a party. You are running a small outdoor kitchen with friends who think they are guests.

Team Captain’s Pregame is the ritual: walk the plan once — out loud or on a shared note — so game day feels like belonging instead of scramble. Use the interactive tool when you want checkboxes in your pocket: Start the pregame checklist →.

Night-before vs morning-of

Night before (evening or afternoon kickoff): grocery done, coolers staged, roles named, weather play chosen, canopy/grill kit by the door. Sleep beats a 5 a.m. warehouse run.

Morning of (especially noon starts): shorter pass — confirm ice pickup, load order, arrive window, and who has the spare trash bags. If the forecast flipped overnight, change the weather play before you hit the lot.

Homegate captains use the same cadence with a TV slate instead of a gate time — see Homegate.

The pregame pass

1. Roles, not heroics

Assign ice, grill, setup, cleanup, and first-timer shepherd. Write names. Heroes burn out; crews last. Send rookies and guests the right pages so they arrive useful:

2. Ice math

Plan roughly one bag per cooler you will actually open, plus a spare for late drinks. Separate drink cold from food cold when you can. Warm beer is a hospitality failure, not a personality quirk. Deeper dive: Ice math for twenty when the crew scales up.

3. Timeline on one card

Arrive window → canopy up → fire-up → food hits the table → leave for the gate (or TV slate). Tape it inside a cooler lid if you must. Noon kickoffs forgive less than night games — pad the arrive window.

4. Weather play

Canopy + wind stakes, awning fallback, or “we’re sliding to a homegate.” Decide before the lot fills. Gear that survives wind and heat lives under Gear — canopy, power, weather kit.

5. Budget tier

Feed the crew for a number you can say out loud. Rookies love clarity; silent resentment over surprise Venmo requests is not culture. Split ice/parking/protein in the chat before shopping.

6. Menu that travels

One regional or crew hero + crowd-pleasers beats a theme-park menu nobody finishes. Build from Menu / Tailgate Favorites, Grilling 101, and Regional Table. Food safety is ops, not vibes — use the Menu hub’s safety guide the week you cook.

7. Packing and setup order

Load so first-off is first-needed: canopy weights, tables, coolers, then flex. Primers: Packing, Setup, Checklist. Identity layer (cloth, lights, flags): Customize YOUR Tailgate.

8. Rules pass

Glass, open flame, generators, tent size — written vs enforced for this venue. Start at Lot Rules and confirm the week of the game. Do not invent policy; verify it.

Group-chat captain line

Paste something this concrete:

Purple canopy / row marker · arrive 9:30–10:30 · need ice + cups + one side · take-down crew after · rookies read Rookie Calm

That one message prevents half the scramble.

What this ritual is not

It is not a ranking system. It is how good lot captains already think — ILTT just names the calm so rookies can borrow it.

When you want gear that survives tough seasons on asphalt, peek at Tailgate Finds — advice-shaped, disclosed, never the face of the brand.
